How to send reminders by email (individual and bulk)

You can send reminders manually or schedule them for later.
Reminders can be sent individually or in bulk.

  • If a customer started signing by printing the document, a Print Reminder is sent automatically after 7 days.
  • Up to four reminder email templates can be configured in your profile settings.

Individual reminder by email

Send a reminder immediately

  1. Navigate to the agreement menu
  2. Select a profile
  3. Find your agreement using the filters, set the filter on "Prepared
  4. Click the agreement record(*)
  5. Click the Reminder icon (bell).
  6. Choose your email reminder template
  7. Click Send reminder x

(*)Alternative you can click the agreement to see its details and click on the invite button.

Bulk reminders by email

To send reminders to multiple agreements at once:

  1. Navigate to the agreement menu
  2. Select a profile
  3. Filter on Prepared and use advanced filters if you wish
  4. Select one or more agreements with the checkboxes
  5. Click Invite
  6. Click the Reminder icon (bell).
  7. Click Send next reminder or choose your email reminder template
  8. Click Reminder x

The system automatically determines which reminder should be sent based on previous communication.

Scheduling reminders

Schedule from a specific agreement

  1. Navigate to the agreement menu
  2. Select a profile
  3. Find your agreement using the filters, set the filter on "Prepared
  4. Click the agreement record(*)
  5. Click the three dots
  6. Click Schedule
    • Select the type of action
    • Select the reminder email template
    • Select the execution date.
  7. Click Save

Schedule in bulk

  1. Navigate to the agreement menu
  2. Select a profile
  3. Filter on Prepared and use advanced filters if you wish
  4. Select one or more agreements with the checkboxes
  5. Click the three dots (bulk actions)
  6. Click Schedule
    • Select the type of action
    • Select the reminder email template
    • Select the execution date
  7. Click Save

Upcoming events

Once a task has been scheduled, an Upcoming events section appears in the agreement details.

From this section, you can:

  • Execute the scheduled task immediately
  • Modify the scheduled task
  • Delete the scheduled task

Automatic reminders

You can activate automatic reminders via Settings → Profiles → [your profile] → Options. Enable the "Automatic reminders" option.
For more details on profile options, see profile settings.

When enabled:

  • The system sends reminders automatically.
  • Up to 4 reminders are sent.
  • Reminders are sent weekly for unsigned agreements.
